12 Hours Monthly Time Savings Through Training DX – Creating a Positive Cycle of Self-Resolution and Communication Reform

- First, please tell us about your company.

Mr. Igarashi: Our company, a subsidiary of Toyota Tsusho Corporation, has been serving as the authorized dealer of Toyota Forklifts in Thailand for over 60 years since 1957. Beyond forklift sales, our business encompasses rental services, spare parts supply, and safety training programs. Recently, we’ve expanded our focus to include carbon neutrality and automation solutions, strengthening our commitment to providing comprehensive solutions to our customers.

DX Promotion Driven by On-Site Needs for “Immediate Information Access”

- What led you to implement Teachme Biz?

Mr. Igarshi: As we accelerated our digital transformation initiatives, our primary challenge was to digitize our daily operational information and create an environment where we could access necessary information instantly. Additionally, there was growing pressure to reduce paper usage from an environmental perspective.
Previously, procedure manuals and various documents were scattered across different departments in paper form, and we spent valuable time searching for needed information. Many employees were voicing the need for a more efficient information management system.
That’s when we discovered Teachme Biz, and we were convinced that implementing this solution would improve our internal information access while taking our first step toward paperless operations.

Enabling On-Site Technician Self-Resolution Through Teachme Biz

- How specifically Teachme Biz is being used in your team?

Ms. Rattanaporn: We primarily use it to create manuals for our technicians. For example, we’ve digitized forklift inspection and repair procedures, sharing them through QR codes. When technicians encounter issues in the field, they can now scan these QR codes for immediate solutions. Previously, they had to call their supervisors for guidance, but now they can often resolve issues independently.
We’re also utilizing it for new employee training. By creating and sharing video materials through Teachme Biz, we’ve made our training programs much more efficient.

Ms. Kanyarat: In the Safety Management Department, we utilize Teachme Biz as a communication tool for both internal and external stakeholders. For external contractors, we previously required face-to-face training sessions. However, after implementing Teachme Biz, we can now efficiently distribute training manuals through links or QR codes, allowing for self-paced learning.

For our internal staff, we focus on monthly safety awareness activities relevant to current situations. The Training Functions make information easily accessible. To boost engagement, we implement interactive elements such as quizzes and comment sections. We also offer small rewards to encourage employee participation and collaborative learning through Teachme Biz.

- Did you face any challenges during implementation or operation?

Ms. Rattanaporn: Initially, there was some resistance to the new system. Particularly our field technicians, who were accustomed to paper manuals, expressed concerns about going digital. However, through regular follow-up and guidance on usage, we gradually achieved widespread adoption.

Ms. Kanyarat: Our department didn’t encounter significant resistance. In fact, many welcomed the improved access to information. The main challenge was in creating manuals – we needed to ensure the content was concise and easy to understand, as Teachme Biz works best with brief, straightforward content.

Digitalizing Safety Training Reduced 12 Hours of Monthly Face-to-Face Sessions

- What benefits have you seen since implementation?

Mr. Igarashi: Since implementing Teachme Biz, we’ve observed three major benefits.
First, we’ve seen improved information accessibility through QR codes. We’ve placed numerous Teachme Biz QR codes throughout our work areas, enabling one-touch access to necessary information and significantly reducing time spent searching for information.
Second, communication between employees and management has become more dynamic. What was previously often one-way information sharing has naturally evolved into two-way communication.
Finally, we can now accurately track information engagement. With accounts provided to all employees, we can properly monitor who has accessed what information.
These improvements have led to significant gains in operational efficiency, and we’re very pleased with the results.

Ms. Kanyarat: Before implementing Teachme Biz, the Safety Department spent 12 hours monthly conducting face-to-face training sessions for contractors and external parties – 4 sessions weekly, 3 hours each. The adoption of Teachme Biz has eliminated this time-consuming process.

Internal communication has also improved dramatically. Our staff can now easily and quickly access the information we share, and engage in two-way communication by leaving comments or questions. From a safety management perspective, having an environment where everyone can share necessary information is a major advantage.

Ms. Rattanaporn: The most impressive change has been the improvement in our technicians’ problem-solving capabilities. Previously, technicians would immediately contact their supervisors whenever issues arose. Now, they can instantly access necessary information through QR codes on-site, leading to a significant increase in self-resolution cases and faster problem resolution.

The workers on-site can instantly access the manual via tablet.

Advancing Toward Company-Wide Implementation with Enhanced Utilization

- Lastly, could you share your plans for utilizing Teachme Biz going forward?

Mr. Igarashi: The implementation of Teachme Biz has significantly advanced our company’s digital transformation. We’ve seen wide-ranging benefits, from faster information sharing and reduced paper usage to more dynamic communication. While we’ve provided Teachme Biz IDs to all employees, usage frequency varies among departments. Moving forward, we aim to deepen our understanding of Teachme Biz’s capabilities and explore more effective ways to utilize the platform. Through continued digital transformation, we’re committed to achieving even greater operational efficiencies.
