Moritomo Thailand Co., Ltd., a leading importer and distributor of Japanese skincare and personal care products in Thailand, serves as a vital link connecting global and local markets. The company is a subsidiary of the Japanese parent company, established in 1854.. Moritomo Thailand itself has been operating since 2009 and currently employs 42 staff members in Thailand.

Teachme Biz had the opportunity to speak with K.Ness, HR & General Affairs Senior Officer, and K. Boat, Senior Sales Executive, from Moritomo Thailand regarding the utilization of Teachme Biz, as well as its effectiveness, and their plans for future use.

The factors that led to the decision to use Teachme Biz

K. Ness : Our company has lackedstandardized SOPs. When welcoming new employees, we provide face-to-face training, showing them around the workplace, or providing notes created from PowerPoint presentations. This knowledge transfer method depends on the instructor’s perspective, which may not align with the company’s standards. In the context of Human Resource Development, we aim to enhance the potential of our employees, equipping them with multi-skills to handle various tasks. This approach is vital for the future, as having employees with diverse skills will contribute significantly to the company’s growth.

With Teachme Biz, we believed it could address our two significant challenges effectively. Therefore, we made the decision to implement its use.

Problems we encountered before implementation of Teachme Biz

K. Ness : Due to my long tenure at Moritomo, one of the issues I faced was when working on the tasks that occur only occasionally, there were instances of forgetting the steps involved in those tasks, leading to disruptions and sometimes needing to refer to the notes which barely remember where to be stored so that it required long time to find them.

In terms of new hires, the preceders often didn’t have enough time to provide proper training for successors, so that if the preceders left the company, the knowledge preceders had would be gone. This will lead to a challenge for their effective education.

With Teachme Biz, we can find manuals that are easily searchable. This allows new employees to learn from the manuals we have created and start working more efficiently, leading to the fact d that they learn their tasks faster. It fosters continuous improvement in their thinking and contributes to the overall enhancement of our work processes.

K. Boat : In other companies, the usual methods for training are either face-to-face or self-note-taking. The results of these approaches often lead to incomplete instruction from the trainer, or incomplete understanding on the staff. Another issue after training is if we forget on some work step, we may need to go back and ask the supervisor. However, if the supervisor is unavailable, we need to remember on our own and make decisions independently.

However, here, the supervisor allows us to learn independently using Teachme Biz beforehand. This enables us to acquire accurate and comprehensive information before performing actual tasks. Another advantage is that we can access the work procedures from anywhere, eliminating concerns about making mistakes due to misremembering what we’ve learned. We can easily check the correct work standards directly through Teachme Biz.

In which departments is Teachme Biz being used?

K. Ness : Currently, we are using Teachme Biz in the Back Office department 100%. This includes the Accounting, General Affairs, Graphic Design, Marketing, Sales, Import-Export, and Online Sales departments. Some departments may have only 1-2 employees, making it crucial for them to share their work processes. This is because if someone is absent, others can refer to Teachme Biz and help perform tasks on their behalf.

 For example, in the Accounting department, we used to store information in personal notebooks, PowerPoints, or Word documents, leading to various formats that were hard to understand and update. With Teachme Biz, we created SOPs for every aspect of our work, starting from using software, coordinating with customers, to basic document preparation. In case of issues or if the assigned employee is absent, another employee with basic knowledge can handle contacting customers, preparing documents, or answering basic customer questions.

For Import-Export tasks, we use Teachme Biz for processes like checking invoices received from abroad, document preparation for customs clearance, and product notification processes, which vary for each product.

Passing on knowledge from one to another

K. Ness : Our company has employees of various ages, both seniors and juniors. Naturally, the expertise of each person differs. Seniors have knowledge and skills in problem-solving, negotiation techniques, but may not be adept at using computers. In the past, they shared their knowledge with juniors to a limited extent. However, nowadays, sharing has increased because even seniors can easily use smartphones. Therefore, creating manuals through Teachme Biz has become much simpler.

How to encourage employees to use manuals

K. Ness : Initially, when we started using Teachme Biz, there was some concern about whether it would be widely adopted. And our employees shared the same sentiment, when they learned that they had to create manuals, everyone was worried about “not knowing what kind of SOP to create.” We began by having each person create a list of their daily, monthly, or quarterly tasks, or as needed. After listing these tasks, we assessed what manuals needed to be created. Now, every department has started developing their own manuals. Once the manuals were completed, we encouraged their use by implementing QR codes. For example, we placed a QR code for the leave request application form on the desk. If an employee was unsure how to fill out the form correctly, they could simply scan the QR code for instructions.
In instances when employee had an urgent absence, having a manual allowed someone else to easily take over. Once employees realized the practical benefits of Teachme Biz, they became motivated to create manuals on their own.

K. Ness : After the person responsible for a particular task creates a manual, a team or supervisor is assigned to verify its accuracy and use it as a reference for daily work. We also use these manuals for training new employees when they join the company. After the training process, we assign the responsibility of updating the manuals to the new employees or have them create new manuals based on their understanding. This serves as a way to assess their comprehension.

Future Usage Plans

K. Ness : Currently, we have completed manuals for approximately 60% of our tasks. Once we finish the rest, we plan to push for more job rotation within the organization. This aims to enhance the capabilities of employees, allowing them to handle a wider range of tasks.
