Since it is easy, we could create a manual even for a one-time job that we did not have time to manage before.

―――What brought you to start using Teachme Biz?

Yasuda Logistics Corporation was established in 1919. We have been expanding the company mainly in Tokyo and Kansai areas, assisting customers optimizing their logistics work. We provide speedy, high quality comprehensive logistics service in accordance with customer’s needs through our flexible ideas and creativity. 

In the logistics industry, each customer’s request is different and their method is varied. It is almost impossible to provide the best service to each customer using only one manual. So we had to make a necessary amount of manuals for each sales office. Other than that, we did not use the same method to make manuals, so the manuals created by each department and each person were different.

We did not make a manual for work that was rarely done and just relied on staff’s memories. The situation worried me. I was afraid that the explanation for temporary staff would not be enough and could affect the quality and efficiency. It is not easy to explain something through just words in manuals or verbally. As I was searching for a tool that allows anyone to easily make easy-to-understand manuals, luckily, I got to know Teachme Biz.

Teachme Biz turns manual making into an enjoyable “play”

―――How is it after using Teachme Biz?

Showing video-based manuals while explaining makes it much easier to understand. Furthermore, it also contributes so much on developing multiple work lines. It reduces over time work as well. 

In the past, we required a large amount of time to make a manual, now we only need 30 minutes to make one. One fantastic thing is that we can use a device that we are familiar with such as a tablet to make manuals which gives the feeling of enjoyable “playing” rather than working.

Currently, we have around 70 manuals. We are gathering pictures and videos of each procedure such as taking out parts, applying labels, inspecting and counting parts etc. Apart from that, we are also making operation standards for cargo handling equipment, such as forklift etc., work procedures, check points, and cautions into manuals. Not only new employees but the experienced ones also make time to look at the manuals regularly which helps increase their awareness towards safety and the benefit of preventing personal and property damage as well.

We started “Teachme Biz Promotion Committee” in Oct 2016 for Teachme Biz to penetrate the company. There are two main purposes of this committee. One is to examine its effectiveness and to find creative ways to use Teachme Biz. Another one is to discuss all the aspects of how we could create easy-to-understand and easy-to-use manuals. We came to the conclusion that we will separate the way of using Teachme Biz into three patterns, which are using just photos, using just videos, or using both depending on the characteristics of work. For simple work, we use just videos. For complex work, we use photos to explain important points and then use videos to confirm the operation etc. Moreover, after the manuals are done to a certain extent, we also arrange a manual preview to raise staff’s awareness about the manuals.

Another purpose is for educating young employees through this activity. This committee is formed by the youngest members of each team. Normally, these juniors would be in the position of being assigned by superiors or bosses, now they are at the center as team leaders. They gather opinions of their team members about issues brought up by the committee and present them in a leader meeting. As a result, not only that it has increased young staff’s eagerness, sense of responsibility, determination, sense of fulfilment, but it has also created the awareness towards work improvement and the overall liveliness of workplace.

―――How are you planning to use Teachme Biz from now on?

The low birth rate problem gets worse faster and faster. We are now entering the era of labour shortage. At times like this, we have to depend more on machinery, and also rely more on foreign workers for work that cannot be replaced by machines. Teachme Biz helped overcome the language barrier and became the communication tool for us. Teachme Biz has already rooted in our company. We are planning to use it even more efficiently than today. So apart from using Teachme Biz to make manuals, we want to use it to train new bloods and use it as a means to promote effective communication within the company.
